KEYNOTE SPEAKER GUIDE

How to hire a keynote speaker for a corporate event.

To hire a keynote speaker, set your goal and audience, fix a realistic budget, build a shortlist, make a clear offer to the speaker’s team, negotiate fee and terms, and sign a reviewed contract before you announce anything. Here is how each step works in practice.

The process at a glance

This guide is written by Sünde Entertainment, a Miami-based talent booking agency whose founder has spent more than 12 years booking speakers, athletes and entertainers in over 30 countries, including Arsène Wenger for Atlassian Team ’24 Europe. It walks through the process we run for clients every week, so you know exactly what a well-run booking looks like.

  1. GoalDecide what the talk must achieve.
  2. BudgetSet a fee range plus travel.
  3. FormatKeynote, fireside chat, panel or virtual.
  4. ShortlistPick 3 to 5 names who fit.
  5. AvailabilityMake a clear offer to the speaker’s team.
  6. NegotiateAgree fee, schedule and extras.
  7. ContractSign reviewed terms, then pay the deposit.
  8. PrepareBrief the speaker and run the day.

Step by step

1

Start with the goal, not a name

Write one sentence on what success looks like: “Energize 800 salespeople for the new year,” “Give our clients a reason to fly in,” or “Open a leadership summit with a credible voice on resilience.” The goal decides whether you need a famous draw, a subject expert or an entertainer, and it is the first thing a speaker’s team will ask about.

Also note your audience size and mix, the event theme, the date and city, and whether the event is internal, client-facing, public or filmed.

2

Set a realistic budget

Speaker fees for corporate events typically run from $5,000 to $250,000+, and the name you want sets the band. Decide your range for the fee itself, then add travel, hotel, ground transport and production on top. Our keynote speaker fees guide breaks down what you get in each tier.

Sharing your real budget early is the fastest way to a yes. Because we already have a good sense of estimated fees, we can tell you right away which names are realistic.

3

Choose the right format

A 45 to 60 minute keynote suits speakers with a prepared talk. Many sports and entertainment names are better in a moderated fireside chat, which feels more personal and is often easier to book. Panels, hosting and virtual appearances widen your options further, and extras such as a meet and greet, VIP photo line or client dinner can be added on.

4

Build a shortlist of 3 to 5 names

Look for people whose story matches your goal, who speak well live (watch recent videos, not just highlight reels), and who fit your audience and brand values. Keep a few names across different fee levels so one “no” doesn’t send you back to the start.

This is where knowing the market matters. We aren’t tied to a roster, so we recommend the speakers who genuinely fit your event, including names you may not have considered and people already traveling near your city.

5

Check availability and make a clear offer

Well-known speakers are represented by agents, managers and bureaus, and their teams receive far more requests than they can take. The ones that get answered quickly are clear, credible offers: the date, city, format, audience, fee range and who the client is.

This is where booking through Sünde makes the biggest difference. We know most of the representatives personally and have worked with them on previous events. Because we are selective about the opportunities we bring them, an offer from us carries weight: it tells the speaker’s team the event is real, the budget is realistic and the client is worth their time. That credibility gets faster answers and better terms.

6

Negotiate fee, schedule and extras

Beyond the fee, agree the time on stage and on site, travel class and hotel, any meet and greet or dinner, whether you can film or stream the talk, how clips can be used in marketing, social media posts, and any exclusivity. Flexible dates and formats are your best negotiating tools.

7

Sign a reviewed contract before you announce

The agreement should cover the fee and payment schedule (a deposit on signing is common, with the balance before the event), cancellation and rescheduling terms, force majeure, travel and hospitality requirements (the “rider”), recording and usage rights, and who pays which costs. Don’t announce the speaker publicly until the contract is signed and the deposit is paid.

At Sünde, every agreement is reviewed by a Florida-based attorney before anyone signs. If an international speaker needs a US visa, start early; we can refer you to experienced immigration attorneys.

8

Prepare the speaker and run the day

Hold a short prep call so the speaker understands your company, audience and goals. Share the run of show, a moderator and questions for fireside chats, AV needs and arrival logistics. On the day, assign one person to look after the speaker from arrival to departure, and have a backup plan for travel delays.

Why event planners book through Sünde

You can spend weeks chasing names on your own, or start with a team that already knows the answers.

We know who fits

We match speakers to your audience, goal and budget from years of booking experience, so the shortlist is made of people who will actually land with your crowd.

We know the fees

We have a clear picture of what speakers are likely to cost before anyone asks. You avoid wasting time on names out of reach, and offers start at the right number.

We know the representatives

We know most of the agents and managers who decide, and we have strong relationships with them from previous events. Your request goes straight to the right person.

We lend you credibility

We are selective about the opportunities we bring to talent and their teams. When an offer comes through Sünde, representatives know it is serious, vetted and worth their time.

How far ahead should you book?

3 to 6 monthsThe comfortable window for most corporate events. You get the most choice and the best terms.
4 to 8 weeksStill very workable, especially with flexible format or a shortlist across fee levels.
48 to 72 hoursPossible when the right person is available. We have secured talent on this kind of timeline.

Common mistakes to avoid

  • Falling for one name too early. Have alternatives ready before you make the first offer.
  • Budgeting only for the fee. Travel, hotel and production can add a meaningful amount, especially for international names.
  • Paying a deposit without a verified contract. Work with an established agency or the speaker’s confirmed team, and only pay against a signed agreement.
  • Assuming you can film or reuse the talk. Recording and clip usage must be agreed in writing.
  • Announcing before signing. Wait for the signed contract and deposit.
  • Skipping the prep call. Ten minutes of briefing is the difference between a generic talk and one that lands with your audience.

Questions to ask before you book

Fit

Has the speaker addressed an audience like ours? Can we see a recent full-length talk?

Will they tailor the talk to our theme, and will they join a prep call?

Logistics

What are the travel, hotel and technical requirements? Who else travels with them?

Rights and terms

Can we record or stream it? What happens if either side needs to cancel or reschedule?

Keynote speaker questions

How do I hire a keynote speaker?

Define the goal and audience for the talk, set a budget for the fee plus travel, choose a format, build a shortlist of three to five names, make a clear offer to each speaker's team, negotiate the fee and terms, sign a reviewed contract and pay the deposit, then brief the speaker before the event.

How far in advance should I book a keynote speaker?

Three to six months ahead gives you the most choice and the best terms, and four to eight weeks is still very workable. When the right person is available, a booking can sometimes be secured in as little as 48 to 72 hours.

How much does it cost to hire a keynote speaker?

Most keynote speakers for corporate events cost between $5,000 and $250,000+, depending mainly on how well known they are, plus travel and production costs. See our keynote speaker fees guide for what each tier typically includes.

Why use a talent booking agency to hire a speaker?

Sünde Entertainment knows which speakers fit your event, has a clear picture of their estimated fees, and knows most speaker representatives personally from previous events. Because Sünde is selective about the opportunities it brings to talent, an offer through Sünde gives the event planner credibility with the speaker's team, which leads to faster answers and better terms. Every agreement is also reviewed by a Florida-based attorney.

What should a keynote speaker contract include?

The fee and payment schedule, the date, time on stage and on site, travel and hospitality requirements, cancellation, rescheduling and force majeure terms, recording, streaming and clip usage rights, social media or exclusivity commitments, and which side pays which costs.

Can I book a famous athlete or celebrity as a keynote speaker?

Yes. Many athletes and entertainers appear at corporate events, often in a moderated fireside chat rather than a solo keynote. The fee depends on their profile, the date and the format.

Want us to handle it?

Send your date, city, audience and budget. We’ll build the shortlist, negotiate with the speaker’s team and manage the booking through to the stage.
